BRX Performance LLC ("Company," "we," "us") operates the BRX Recruiting platform ("Service"). This Privacy Policy explains how we collect, use, and protect your personal information.

1. Information We Collect

Account Information

Name, email address, and password when you create an account.

Athletic & Academic Profile

Graduation year, position, height, weight, GPA, test scores (SAT/ACT), baseball metrics (velocity, exit velocity, sprint times, etc.), grade-level metric history, and school preferences. This data is provided by you or by BRX Performance staff during Recruiting Assessment Meetings.

School & Outreach Data

Your school list, fit categories, outreach status, notes, and activity logs related to college program communication.

AI Coach Conversations

Messages you send to and receive from the AI Recruiting Coach (Coach BRX) are stored to maintain conversation history and improve the quality of guidance provided.

Technical Data

IP address, browser type, operating system, and general usage patterns collected automatically when you use the Service.

2. How We Use Your Information

  • Provide and operate the Service, including school matching and analysis
  • Generate personalized recruiting guidance through the AI Coach
  • Help you compose outreach emails to college coaches (emails are sent from your own email account, not ours)
  • Enable BRX Performance staff to support you during recruiting assessments
  • Compute fit scores, percentile analysis, and metric projections
  • Send you important account and service-related notifications
  • Improve and develop new features for the Service
  • Maintain security and prevent fraud

3. AI Processing

The AI Recruiting Coach is powered by Anthropic's Claude AI. When you use Coach BRX, your messages and relevant profile context are sent to Anthropic's API for processing. Anthropic does not use your data to train their AI models. For more information, see Anthropic's Privacy Policy.

4. Gmail Integration

Our app offers an optional Gmail integration that allows you to send emails to college coaches directly from the app using your own Gmail account.

  • What we access: We request gmail.send (send emails on your behalf) and gmail.readonly (read replies from coaches in email threads you initiated).
  • What we do NOT access: We only read emails in threads that you started with college coaches through this app. We do not scan, search, modify, or delete any other emails in your inbox.
  • Token storage: Your Gmail authorization tokens are encrypted using AES-256-GCM encryption before being stored in our database. The encryption key is stored separately and is never exposed to the client.
  • Sent emails: Emails sent through the app appear in your Gmail Sent folder, just as if you had sent them directly from Gmail.
  • Revoking access: You can disconnect Gmail at any time using the "Disconnect Gmail" button in the app, or revoke access from your Google Account permissions.

Google API Services Limited Use Disclosure

BRX Recruiting's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Gmail data to provide and improve the email outreach features described above (sending coach emails and displaying replies in threads you initiated).
  • We do not use Gmail data for advertising, market research, or email campaign tools unrelated to your recruiting outreach.
  • We do not allow humans to read your Gmail content unless (a) you provide affirmative consent (e.g., asking BRX staff for help with an email), (b) it is necessary for security purposes, or (c) it is required by law.
  • We do not transfer Gmail data to third parties except as needed to provide the Service (e.g., encrypted storage in our database), with your explicit consent, or as required by law.

5. Data Sharing

We do not sell your personal information. We may share data with the following categories of service providers solely to operate the Service:

  • Database & Authentication: Supabase (hosts our database and manages login)
  • AI Processing: Anthropic (powers the AI Recruiting Coach)
  • Hosting: Hostinger (runs our web server)
  • CRM: HubSpot (manages customer relationships)
  • Email: Google Gmail API (sends emails on your behalf when you connect your Gmail, with your explicit consent)
  • Error Tracking: Sentry (monitors application errors)

We may also disclose information if required by law, legal process, or government request, or to protect the rights, safety, or property of BRX Performance, our users, or the public.

6. Staff Access

Authorized BRX Performance staff can access athlete profiles, metrics, school lists, and AI Coach conversation history as part of delivering recruiting assessment services. Staff access is limited to personnel directly involved in your support and is subject to internal confidentiality obligations.

7. Data Security

We use industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), secure authentication, row-level database security policies, and rate-limited API access. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention, legal compliance).

9. Children & COPPA Compliance

The Service is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13. If we learn that we have collected data from a child under 13, we will delete it promptly.

Users between 13 and 17 must have parental or guardian consent to use the Service. Parents or guardians may contact us to review, update, or request deletion of their child's information.

10. Cookies & Tracking

The Service uses essential cookies for authentication and session management. We do not use advertising cookies or third-party tracking pixels. Error tracking (Sentry) may collect technical data about browser errors to help us fix issues.

11. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete information
  • Delete your account and associated data
  • Export your data in a portable format
  • Withdraw consent for optional data processing

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via email or through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
